Mobile Solutions has launched its SmartCheck system for vehicle defect checks, which uses Android or Apple smartphones to replace paper-based systems for recording the results of drivers’ daily walk around inspections. The flexible new system helps fleets to save money, improve compliance and cut the time spent managing defect reports.
The easy-to-use system provides immediate, up to the minute reports to fleet managers, and enables fast follow-up action to defects, such as scheduling repairs. This helps reduce the time trucks spend off the road, improving efficiency for a fleet, and enables analysis to uncover patterns of repeated repairs, which can help identify and fix problems across multiple vehicles.
Since records are kept electronically, companies save on the cost and space previously required to keep paper records. Reports cannot be lost, misfiled or damaged.
“We use SmartCheck with our fleet of 50 vehicles, and when I see the reports I know that the walk around check has been done right,” said Ian Phillips, owner and managing director at T&R Phillips, a haulage company based in Swansea. “SmartCheck has replaced a laborious paper-based system, and is the first electronic solution we’ve seen that is simple for drivers to use and has the range of features we need.”
With SmartCheck, fleet managers have a real-time view of which checks have been done, both of vehicles in the depot and those out on the road. This improved accountability ensures all drivers complete their checks, it improves safety and reliability and saves managers’ time in chasing up incomplete or sub-standard checks.
As well as the daily VOSA safety checks, SmartCheck can be extended to include client specific or other commercial vehicle statutory check templates, such as HGV six-weekly checks. The system comes with VOSA compliant defect check templates for HGV, PSV and LGV vehicles, which can be customized as required, as well as templates for incident reports. A traffic light system guides drivers as to the recommended action when a defect is identified.
The defect check reports other completed templates are immediately to a browser base WebView dashboard, and/or as formatted email to managers. A copy of the formatted report is retained on the smartphone for VOSA roadside inspection, simplifying compliance if the vehicle is stopped and avoiding fines.
WebView can be used to monitor a local fleet or used simultaneously across multiple offices to review problems and collaborate: for example a retail fleet might handle first line defect appraisal at the store and escalate to central management and their contracted repair service if required. Managers can also use WebView to view previous safety checks for comparison.
Defect detail can be reported back using SmartCheck, including photos, which allows extensive analysis of the issue rather than just notification. This reduces time on mechanical physical inspection, improving efficiency and saving money. It can also avoid the need for expensive mobile recovery callouts where a truck is on the road, as depot-based staff can make a decision that a vehicle is safe to drive back to base. Incident reports stored on SmartCheck can support insurance claims, which saves management time and supports any related insurance claim process.
